As you get closer to your wedding day, you may notice just how many moving parts there are to keep track of. Between finishing up the last bit of planning and making sure everything runs smoothly on the big day you will find your hands very full! Which is why we recommend picking someone from your wedding party to cover those tasks or hiring a day of coordinator.
What is a Day-of Coordinator?
A day-of wedding coordinator is a professional tasked with orchestrating and implementing the details of your wedding on the actual day. This individual assumes control of the planning in the final stages to ensure that everything unfolds as expected. Rather than merely appearing on your wedding day, a day-of coordinator collaborates with you in advance to grasp your vision.
We recommend that you hire or pick a day-of coordinator for weddings with over 50 guests or for those with a sizable wedding party.
Why do you need one?
Whether you end up hiring a professional or not, you MUST have someone other than yourself taking over the details on your wedding day. As the bride, or groom, your attention should be on greeting guests, preparing for the ceremony, and focusing all your attention on your new spouse. NOT on if there are 199 chairs when there should be 200.
One great benefit of using a day of coordinator, is that you can have the benefit of a professional on your wedding day without breaking your wedding budget. While it might be ideal to have a Wedding Planner handle everything, the reality is that hiring one could be a big cost! A Day of Coordinator can fill part of that role at a much lower price point!
So, what exactly do they do?
–Set Up and Break Down: They make sure everything is set up how it should be in the venue and at the ceremony site to make it ready for guests.
–Directing the Vendors and being the Point of Contact: They make sure every vendor, photographer, videographer, bartender, and caterer know who to talk to, where to go, and what they need to be doing.
–Watching the Clock: They make sure everyone is sticking to the timeline that was set and will be the one to “be the bad guy” if someone is going too slow so you don’t have to say anything.
–Solving Problems: When something comes up (and something always does) that could derail the day they step in and take care of it. They take on any stress so that you can float through the day relaxed and just enjoying yourself.
What if you can’t get one?
If you aren’t able to budget for a Day of Coordinator, or just don’t want another strange face at the wedding, then we recommend asking the people closest to you. Our personal first choices would be either your maid of honor, best man, or someone who’s been involved in the wedding planning like a good friend or family member. They’ll be able to execute the basic needs of a day of coordinator and help keep an eye on the clock to be sure everyone is staying on schedule.

Whatever you decide to do for your wedding day, remember that the most important thing is that you as the bride-to-be are not spending your wedding day focusing on the details when you should be enjoying the day and basking in the memories of this special day. Don’t be afraid to delegate so that you can soak in the moments instead of watching the clock!
